A lapsed cert is a fine, a stop-work, or a lost bid waiting to happen.

Certs live in a binder, a glovebox, and three people’s memories. Nobody knows what expires this month until a GC asks for the matrix or an inspector asks for the card. By then it’s a scramble — or a shutdown.

Start from a catalog of sixteen cert types built for concrete crews, add your own, then attach records to each worker: type (with its issuer), cert number, issue date, and the document — a photo of the card or the PDF. Validity is set per type, so typing the issue date fills the expiry. The roster and the compliance picture finally live in the same place.

The starting catalog

Sixteen cert types, with the issuers’ renewal cycles built in.

Each type carries the validity its issuer publishes and an expiring-soon window sized to how long the renewal takes. These are the defaults; every number is editable.

Starting points, not rules: change a validity or a window, switch a type off, add the ones your GCs ask for. MSHA Part 46 ships in the catalog switched off.

Expiring-soon alerts

See what lapses this month — before it does.

Status is computed every time you look — valid, expiring soon, expired, or no expiry — never typed into a field that can go stale. The Needs Action list at the top of the Certifications tab is the Monday read: what has lapsed, and what lapses in the next 90 days, flagged at 90, 60 and 30. Renew on your schedule instead of finding out from an inspector.

Per-project compliance

Mark what a project requires. See who is covered.

Each project carries the cert types it requires — the GC’s matrix, kept where the crew is scheduled. The compliance view reads the roster against it, project by project: who holds each required cert, and where one is missing, expired or expiring. When the GC asks for your certs, the answer is already on the screen.

Assignment warnings

A guardrail at the exact moment risk happens.

Put a worker on a project that requires a cert he doesn’t hold, or has let lapse, and the warning appears in the assignment itself — and Save still works, because the call is yours. It warns; it never blocks. The exposure gets caught where it starts, not in a post-mortem.

Badges on the board

Who’s certified, at a glance, on the crew board.

Every tracked cert type paints a badge on its holders on the crew board while the cert is valid or expiring soon (switch off any you don’t want), and drops it the day the cert expires. The superintendent building next week sees who can run the lift, test the concrete, or make the confined-space entry without opening a single record.

Verify it is real

Check the issuer, not the card.

An expiry date is only as good as the card behind it. ACI runs a public certification lookup; CPR and first-aid cards verify with the organization that issued them; OSHA 10/30 has no central registry, so the trainer and the card number are the trail. The record holds the cert number and a copy of the card for exactly this: verify at hire, re-verify at every renewal.

The catalog is editable, so a UK workspace tracks what a UK site asks for — CSCS cards, IPAF and PASMA cards, First Aid at Work, asbestos-awareness refreshers — and a Canadian crew tracks WHMIS and provincial fall-protection cards, each on the issuer’s own cycle. What is construction certification tracking software?

What certifications can I track?
Any cert your crew carries. Sixteen types come built in for concrete crews — OSHA 10/30, CPR/First Aid, the ACI flatwork and field-testing certifications, forklift, telehandler and MEWP cards, rigger and signal person, confined space, silica, fall protection, powder-actuated tools, driver’s license — each with the issuer’s validity and a warning window. Add your own types, edit any cycle, switch off the ones you don’t use.
How do expiration alerts work?
Status is computed every time you look — valid, expiring soon, expired, or no expiry — from the expiry date. Anything expired or due inside 90 days surfaces in the Needs Action list at the top of the Certifications tab and on the worker’s record, colored at 90, 60 and 30 days, so you renew on your schedule rather than after an inspector finds the gap.
Will it stop me from assigning someone with a lapsed cert?
It warns; it doesn’t stop you. Put a worker on a project that requires a cert he doesn’t hold, or has let lapse, and you get the warning right in the assignment, and Save still goes through. The judgment stays with the office; the warning makes sure it is a judgment and not an accident.
How does per-project compliance work?
